Refund Policy

Overview

This policy covers refunds for document preparation services provided by Utility Birch Core Co., Ltd. We prepare summary packs on a per-engagement basis; refund terms depend on the stage of work completed.

Eligibility for Full Refund

You are eligible for a full refund if:

• You cancel before we begin preparing your draft ledger
• We are unable to commence work due to insufficient record quality and no alternative arrangement is agreed
• We fail to deliver within the agreed timeline by more than 5 business days without prior notice

Eligibility for Partial Refund

A partial refund of up to 50% may apply if:

• You cancel after draft delivery but before final delivery, and no revision work has begun
• You cancel after requesting substantial revisions that require re-processing more than 30% of the original records

Non-Refundable Items

The following are not eligible for refund:

• Work already completed and delivered as a final PDF pack
• Rush delivery surcharges once rush processing has begun
• Revisions requested more than 14 days after final delivery
• Engagements where the client provided intentionally incomplete or falsified records

Cancellation

To cancel, email contact@utilitybirchcore.click with your engagement reference and reason for cancellation. Cancellations are effective upon our written confirmation.

Rescheduling

If your filing deadline changes, contact us to reschedule draft and delivery dates at no charge, provided we are notified at least 3 business days before the original draft delivery date.

Deposits

We do not require deposits for standard engagements. If a deposit is requested for large multi-wallet projects, it is fully refundable if you cancel before work begins.

No-Shows

If you do not respond to a draft review request within 21 days, we will send a final reminder. If no response is received within 7 additional days, the engagement is considered complete and the final pack is delivered as-is. No refund applies in this case.

Work Already Started

Once ledger preparation begins, a cancellation incurs a fee equal to the proportion of work completed. We will provide a written estimate of completed work upon cancellation request.

Purchased Materials

We do not purchase materials on behalf of clients. This section does not apply to our services.

Refund Process

1. Submit a refund request to contact@utilitybirchcore.click
2. Include your name, engagement date, and reason for the request
3. We review and respond within 3 business days
4. Approved refunds are processed within 10 business days

Refund Method

Refunds are issued via bank transfer to the account from which payment was received. We do not issue refunds to third-party accounts.
