The formatting conventions, ledger structures, and quality standards behind every Utility Birch Core summary pack.
Why Standards Matter
Accountants receive wallet records in dozens of incompatible formats — raw blockchain explorers, exchange CSVs with different column orders, and screenshot folders with no chronological structure. Our document standards ensure every pack follows a predictable layout your preparer can navigate without reformatting.
Ledger Structure
Every transaction ledger follows a fixed column order: Date, Type, Asset, Amount, Counterparty, Reference, Cost Basis. This order matches the conventions used by major Korean accounting firms and is compatible with import into common spreadsheet templates.
Internal transfers between client-owned wallets are always paired with a cross-reference number. Disposals and acquisitions are never merged into a single row. Network fees are logged separately and summarized in a dedicated fee table.
Address Register Format
The address register lists every public address associated with the wallet, grouped by derivation path where applicable. Each entry includes the address, the date it was first used, the device or software that generated it, and a status field (active, retired, or watch-only).
Cover Memorandum
The cover memorandum is a one-page letter addressed to the accountant. It describes the wallet type, the period covered, the number of transactions documented, any known gaps in the source records, and contact information for follow-up questions. This page is written in plain language without technical jargon.
Quality Review Checklist
Before any pack is delivered, it passes a four-point review:
- Completeness — all submitted records are represented in the ledger
- Pairing — internal transfers are correctly matched across wallets
- Gap notation — every missing cost basis is marked TBD, never estimated
- Formatting — consistent fonts, page numbers, and table borders throughout
Revision Policy
If your accountant identifies a formatting issue or requests an additional column, we revise the pack at no charge within 14 days of delivery. Substantive additions requiring new source records are quoted separately.
